Our Committee

Dear Parents and Carers

I would like to welcome you to our website on behalf of the committee.

The committee meet every 6-8 weeks or more often if arranging a fundraising event. Dates and times of meetings will be posted on the news page of the website whenever possible. We are always happy to see new parents and often need help in organising charity events. We welcome new members, however if you feel you may not be able to commit to regular meetings then you can still assist us in raising money to fund projects for the pre school and Woodies. If you would like to join the committee or you have any comments then please contact us through the Pre school or Woodies or via the email address.

Outlined below is the function of the committee and how we work closely with the Pre School and Woodies to ensure that your children’s time spent with us is happy and fulfilling.

The Chairperson

  • Is the public face of the elected committee
  • Represents the Pre-school/Woodies at public events / meetings
  • Liaises with the Managers to support them in the day to day running of the setting. Is available in case of an emergency between committee meetings, consults with other members in case of emergency before making any decisions, then reports the outcome at the next meeting
  • Takes charge of open meetings and committee meetings, ensuring meetings are effective and takes account of wishes of all members.
  • Encourages effective use of skills and talents available within the committee
  • Line manager of the managers of the Pre-school and Woodies
  • Supports and authorises work of the treasurer
  • Ensures the committee members and staff have clearly identified roles and responsibilities
  • Involved in ensuring registration needs and OFSTED needs are met
  • Knows the roles and legal obligations of the committee

The Secretary

  • Keeps proper records (minutes) of meetings
  • In consultation with the chair/vice chair, draws up and circulates agenda before meetings
  • Ensures that everyone knows in good time about the date, time and venue for committee meetings
  • Ensures all committee members and staff receive a copy of the minutes
  • Writes and receives letters for the group and keeps correspondence
  • Keeps lists of contacts up to date

The Treasurer

  • Guides and advises committee on approval of budgets and accounts
  • Keeping the committee informed of financial responsibilities through treasurer reports
  • Assists the administrator in the payment of salaries and issues relating to PAYE and National Insurance
  • NEG claim forms and grant administration is correct
  • Ensuring insurance is paid on time
  • Is responsible for Pre-School cheque books, debit cards and paying in books
  • Advising the committee and senior staff of financial implications of the business plan and monitors budget
  • Confirming that present and future financial needs are met
  • Ensuring the accounts are audited as appropriate, and an annual return is sent to the charities commission
  • Presents the accounts and an annual report to the AGM
  • Maintains accurate financial records
  • Provides financial information to be used by the committee for funding applications
  • Preparing cash flow forecast and budget monitoring reports
  • Ensure that chair and vice chair receive copies of bank statements

Other work is shared amongst the committee, this includes:

  • Purchasing equipment or looking for funding to purchase equipment for the Pre-school and Woodies
  • Staff Absence- attend sessions to cover the absence of staff e.g. sickness, key worker appointments.
  • Cleaning- help with cleaning of the Pre-school and Woodies at the end of each term.
  • All members share decision-making and help to organise and run fund raising events. All attend meetings. A list of the current committee members is above, all members can be contacted through the Pre-school or Woodies
  • In consultation with staff, ensuring that registration and inspection requirements are met
  • Ensuring that the Pre-school and Woodies environments comply with Health and Safety standards. The committee ensures risk assessments are completed annually, and all policies and procedures are updated annually or more frequently if required, and reviewed by the committee for approval
  • Takes an active part in appraisals and the recruitment/induction process of new staff
  • Represent the committee as and when required

Finance

  • The committee as well as the treasurer are responsible for:
  • The fees should cover wages, premises costs, insurance and other pre school costs
  • To ensure an accountant, independent of the group audits the end of year accounts
  • Accounts and records must be kept for 6 years (this includes minutes) accounts will be required by the charity commission

Staff

All staff have a contract of employment. Staff have yearly appraisals by a member of the committee together with the Pre school/Woodies manager. Staff are encouraged to attend workshops / courses as training is required.

Administration

The Health and Safety Executive requires that the group reports serious accidents. The Pre School learning alliance accident/incident book is maintained. Parents sign as requested. We also have Registration forms completed on all children.

Property

We rent both the bungalow and the portacabin from Chaddlewood Primary School and pay rent on both the buildings.
